Stoke Gifford Retirement Village
To design, supply, install and commission various systems including Fire, Intruder, CCTV and Warden/Nurse Call Systems in new build apartments, communal and public spaces.
The new ExtraCare £53m Retirement Village is being developed on the border of South Gloucestershire and Bristol is a unique housing scheme providing purpose-built facilities for the over 55s, to help them stay living in their own homes for longer. Stoke Gifford Retirement Village is a partnership between South Gloucestershire Council, Bristol City Council, the Homes and Communities Agency and The ExtraCare Charitable Trust.
TIS were awarded the project to design and install building wide communications, security and life safety systems along with our ‘Smart Building Converged Infrastructure’ into a new build retirement village
The 12 Hectare (29 Acre) Stoke Gifford Retirement Village site consists of 261 apartments, the apartments are broken down into 92 one bedroom apartments and 169 two bedroom apartments.

TIS designed, installed and integrated; Fibre TV Distribution, Fire Alarm, IP Door Entry, IP Access Control, IP Telephony System, Hybrid (IP/Analogue) Emergency Call System, Fibre Data Network Infrastructure, UPS Power Backup, Mobile Phone Repeater System, Digital Signage, IP CCTV, Wi-Fi, BT Openreach Distribution and Bespoke Alarm Reporting Software, all integrated with an Android handset deployment and custom apps.
Our bespoke designed converged infrastructure provides simple and efficient operation for the staff and future proofing for the building owners. This flexibility and ease of use allows the building operator the ability to individually customise each resident’s package; from multi-media & broadband provision to emergency call and healthcare monitoring, thus allowing increased revenue opportunities for the operator, and increased desirability amongst the residents. Providing efficient operation for the staff, future proofing for the building owners, and increasing desirability amongst the residents was a key to the success of this project. Integrating an innovative and flexible solution developed by TIS to improve the efficiency of the entire team has reduced labour and operational costs, and increased efficiency and productivity, through a reduction in labour intensive system interrogation and diagnostics through remote monitoring and system administration. Within the Stoke Gifford Retirement Village the Fire Detection and Alarms, Warden and Nurse Call, Access Control and Video Door Entry now sit on a single infrastructure and talk to each other.
Careful planning and scheduling allowed TIS to complete the contracted works despite simultaneous contracts of a similar size and nature taking place. We offered our clients the right amount of resources at the right time, ensuring that despite peaks and troughs in their schedules we could respond to their needs at short notice. Our highly skilled engineering teams are cross-trained in multiple systems, allowing for full flexibility in our approach to the phased installation plan.
Our Head of Design, oversaw the entire project, from initial concept discussions, through to complete system design, ensuring legislative compliance and adherence to British Standards. TIS listened carefully to the requirements of the client and together with our suppliers and manufacturers we reduced overall expected costs through optimisation of equipment proposed, and through sourcing equipment which had multiple functions and cross integrations, for example heat, smoke and CO detection combined with sounders, instead of traditional battery operated smoke detection solutions. Monitoring customer satisfaction levels, TIS developed strong communication with the key contracts at The ExtraCare Charitable Trust, both on site and at head office. We worked hard to ensure they were listened to, heard, their requirements understood, their concepts supported and that they were satisfied with the project.
Overseeing the entire Project our Head of Design continues to Account Manage all new ExtraCare Contracts, while our Head of Operations Account Manages all orders and ongoing contracts. Putting customer service as a key priority and a paramount focus within our business strategy, we liaise with the key nominated individuals and ensure complete customer satisfaction.
Continuing to ensure complete customer satisfaction, means that we regularly hold bi-annual meetings with the key nominated individuals from each retirement village, including tenant forum members, we listen to their feedback, concerns and compliments and pass these on to the account managers and review with the necessary departments to ensure all involved in ExtraCare projects adhere to the same standards on a local, regional and national basis.
During the installation project we worked closely with suppliers to seek bespoke project pricing, using economies of scale pricing to the advantage of our clients where possible. Post installation we continue to support ExtraCare with economies of scale purchasing to ensure they receive the most competitive parts required for service and maintenance purposes. Our suppliers often offer extended warranties and CPD certified training days for our employees and for our clients to ensure that the systems were installed, commissioned and operated in the correct manner.
Our project manager is fully aware of the site constraints imposed on each retirement village, Stoke Gifford was no different. Our project manager was made aware of the site registration policy, vehicle constraints on site and the location of contractor facilities for the safety of all on site, our project managers developed excellent communication and on site relationships with the principal contractor, their site foreman and other contractors on site.
Our engineers used the initial award time to become familiar with the site layout, other contractors, storage locations for stock control, site registrations procedures, health and safety constraints, and emergency protocols to be completed prior to commencement of works. This ensured a speedy programme start once on site.
Working to stringent health and safety processes, detailed method statements and risk assessments, TIS supported The ExtraCare Charitable Trust to ensure that safety on site was a priority at all times, we are proud of our flawless site safety record, which we retained throughout this intensive construction project.
Developing detailed programmes of works our project manager ensured that the installations works were rolled out with a controlled start, and the approach mirrored the deadlines of the principal contractor on site. Working closely with the principal contractor, TIS ensured that the client’s requirements including pre-determined completions dates were met.
Implementing our Quality Management System ensured that the standards required for the duration of the contract were high. We ensured that the quality of the parts met our rigorous testing, and that the parts were fully compliant with the legislative requirements for their individual discipline.
TIS ensured that all parts were checked prior to dispatch to site, through our goods inward process. The Stock Controller received all parts and components at our head office stock unit and the items were checked to ensure the full quota was received in harmony with the orders placed. Our Stock controller further checked the functionality of all parts prior to dispatch, requesting replacements for defective parts prior to their requirement on site, and thus reducing potential delays on site.
TIS continue to work closely with the ExtraCare Charitable Trust in full partnership offering them all-inclusive service and maintenance contracts which ensure their systems are kept at optimum performance at all times. Carefully scheduled pre-planned preventive maintenance is offered to all sites included in the contract, and we ensure that we work in harmony with the Trust and their residents alike, allowing for community events, increased visiting during the winter holiday season etc. Due to the nature of Retirement villages, at times we have to respond quickly to a change in schedule, for example when a member of the community passes away, operating in a fully flexible manner we will re-arrange our maintenance visits and show discretion, tact and empathy with the community, and the Trust, our flexibility to their needs is greatly appreciated by all.
